This is the Privacy Policy for Monicam Ltd (Trading as SCI). We design, install, upgrade, service and maintain complex Building Management Systems (BMS). This policy covers all personal data we hold, or have gathered via our website (site), or telephone and email communications.

We want you to know how we collect, use and protect your personal information. The data controller is Monicam Ltd TA SCI, (referred to in this policy as “we”, “us” or “our”).

1. Personal information we collect
When you register interest in SCI, or wish to use our professional services you will be asked to provide us with: your personal details, including without limitation; your name, postal and billing addresses, email addresses, phone numbers

When you visit our site or social media platforms (LinkedIn, Facebook, Twitter) we may collect information about your online browsing behaviour and any devices you have used to access our site (including your IP address, browser type and mobile device identifiers)

If you work for us, we will ask for the information above, plus financial information to enable us to manage your employment: including but not limited to, your National Insurance number, Tax Code, Bank details, medical information, next of kin, training and education records or accreditations

2. How we collect and use your personal information
This section explains how we collect and use your personal information.

2.1. Expressing interest in our products or services via our site
We ask you to complete a contact form when expressing interest in our products or services. This may include (but is not limited to) your email address, contact name, company website, telephone numbers and company address details. We will use this information to initiate and maintain contact with you

2.2 Service Contract renewals
We provide annual service and maintenance renewals, and will use your personal data to contact you when renewals are due

2.3 Contacting us about Careers via our site
We use an electronic form to capture the contact details listed in 2.1 above. This also allows you to upload and submit a CV to us. We will use this information to contact you directly

2.4 Working for us. We will use your personal information as described in 1 to manage your employment with us

2.5 Communicating with us via Social Media Platforms
We use LinkedIn, Twitter and Facebook to promote our company services, careers and interests. We use this information to tailor our direct communications with you

2.6 Internal reporting, insight and analysis
We may also use the personal information referred to in this section 2 to generate aggregated data for the purposes of internal reporting, insight and analysis, enabling us to improve and personalize our services.

2.7 Contacting you
We collect and may use your personal information to:

2.7.1 contact you in response to the communications that you have directed at us. We want to be able to help you so we use personal data to provide clarification or assistance in response to your communications

2.7.2 invite you to take part in polls and other market research activities carried out by us. Any feedback you provide will be used to improve our services. However, if we contact you about this, you do not have to take part in the activities

2.7.3 If you’re providing us with another person’s personal information you should first ask them to read this Privacy Policy. By giving us personal information about another person you are confirming that they have given you consent to provide the personal information to us and that they understand how their details will be used, and can be removed

We will periodically review your personal information to ensure that we do not keep it for longer than is permitted by law (see section 9 below).

3. Why do we process your personal information?
We will only collect and use your personal information (as described in sections 1 and 2) in accordance with data protection laws. Our grounds for processing your personal information are as follows:

  • Consent – Where necessary we will only collect and process your personal information if you have consented for us to do so. For example, when you register via our site to request information about our services
  • Legitimate Interests – We may use and process some of your personal information where we have sensible and legitimate business grounds for doing so. Under European privacy laws there is a concept of “legitimate interests” as a justification for processing your personal information. Our legitimate interests for processing your personal information are:
    • to enable you to access and use the site and services we offer
    • to communicate with you about your use of the site or services. For example, sending you a confirmation email. Unless you have agreed, this won’t include communications about products and exclusives which we think you may be interested in; and
    • to improve our site and Social Media offerings. We may use your personal information to undertake demographic segmentation and generate profiling information to help us understand what you might be interested in and for market research.

From May 25th 2018, you will have a right to object to our use of your personal information for these legitimate interests, including a right to object to profiling by us (see section 6.1.5 below).

4. Disclosure of your personal information to other organisations
The personal information that we collect when you use our site or contact us is confidential. We may disclose your personal information to a third party in the following circumstances:

4.1 If required in order to supply the services you have requested – e.g Addresses or on site contact numbers for materials being delivered for your project

4.2. If required or permitted to do so by law;

4.3. If required to do so by any court, or any other applicable regulatory, compliance, governmental or law enforcement agency;

4.4. If necessary in connection with legal proceedings or potential legal proceedings;

5. How you can change permissions
All emails or other forms of communication directly from us to you will include clear instructions on how to unsubscribe. Plus, if you don’t want to be contacted by us anymore you can email Section 6 below also sets out your other information rights.

6. Your information rights and responsibilities

6.1. You already have certain rights under existing data protection legislation, including a right to request a copy of the personal information we hold on you, if you request it in writing. From 25 May 2018 you will also have the following rights:

6.1.1. Right to correct: the right to have your personal information rectified if it is inaccurate or incomplete;

6.1.2. Right to erase: the right to request that we delete or remove your personal information from our systems;

6.1.3. Right to restrict our use of your information: the right to ‘block’ us from using your personal information or limit the way in which we can use it;

6.1.4. Right to data portability: the right to request that we move, copy or transfer your personal information;

6.1.5. Right to object: the right to object to our use of your personal information including where we use it for our legitimate interests, or where we use your personal information to carry out profiling to inform our market research and user demographics. If you raise an objection we will stop processing your personal information unless very exceptional circumstances apply, in which case we will let you know why we’re continuing to process your personal information.

We will use reasonable efforts consistent with our legal duty to provide you with your rights in accordance with data protection legislation.

6.3. If you’re not satisfied with the way any complaint you make in relation to your personal information is handled by us then you may be able to refer your complaint to the relevant data protection regulator. In the UK, this is the Information Commissioner’s Office.

7. Cookies

7.1. We use cookies (files which are sent by us to your computer or other access device) and tracking technology to help to improve the functionality and performance of our site.

7.2. The information derived from our use of cookies will be aggregated to provide statistical information about the usage of our site and its’ functionality. However, we do not use any information derived from cookies, nor any IP addresses we collect, to identify any individual user of our site.

8. Keeping your personal information secure

8.1. Keeping information about you secure is very important to us so we store and process your personal information in accordance with the high standards required under data protection legislation. From time to time and for operational reasons the personal information we collect from you may be transferred to and stored in countries outside of the European Economic Area (“EEA”).

8.2. We do our best to keep the information you disclose to us secure. However, we can’t guarantee its security. By providing this information via our site, Social Media platforms or any other communication means, you accept the inherent risks of providing information online and will not hold us responsible for any breach of security.

9. How long do we keep your personal information?
Unless a longer retention period is required or permitted by law, we will only hold your personal information on our systems for the period necessary to fulfil the purposes outlined in this Privacy Policy i.e. in order to conduct our business relationship with you; or until you request it is deleted. We may contact you to ensure you’re still happy to receive communications from us. Even if we delete your personal information it may persist on back-up or archival media for legal, tax or regulatory purposes.

11. Changes
This policy is effective from 1st May 2018. We may, from time to time, make changes to this Privacy Policy to reflect any changes to our privacy practices in accordance with changes to legislation, best practice or site enhancements. We will let you know what these changes are by posting them to this page. Where the changes are significant, we may also choose to email you with the new details and get your consent to make these changes where required by law. It is your responsibility as a user to make sure that you are aware of changes posted on this page, by checking for any changes on a regular basis. Changes posted on this page will become effective as soon as they are posted.
